Customer requirement
After previous deliverables that included designing overall Power BI governance, creating a corporate Power BI template, developing regulatory reports in Power BI and helping to configure Power BI tenant, VIG-Re decided to continue optimizing their Power BI platform. The new requirement was to make it easier to access and manage Power BI reports, as well as to monitor and optimize the entire Power BI platform to gain visibility into the use of Power BI and individual reports within the company. The goal was to streamline report management, better manage report accessibility and also monitor how reports are actually being used in the company, which will help with efficient resource allocation and better management of the Power BI platform.
Solution
As part of this collaboration, the client implemented the following two products that work closely together and complement each other:
1. Power BI Report Explorer
This tool provides a clear and efficient organization of reports in Power BI. Using Power BI’s native components and a simple data model, a flexible crossroads was created to manage reports with customizable colors, icons and layout. The signpost allows easy access to reports while providing visualizations of important information such as report owners, business description, data refresh rates, etc. Additionally, unnecessary elements can be easily hidden for the average user. At the same time, it is also possible to display reports that the user does not have access to, so that they can easily learn about their existence and request access.
2. Monitoring Power BI tenant
This solution offers a comprehensive overview of the use of Power BI in the company. Monitoring provides collection and analysis of data from Power BI tenant, which enables optimization of resource allocation and management of user activities. With monitoring, platform administrators can easily see what proportion of users are regularly accessing reports, identify inactive users, monitor updates to semantic models, and get a detailed view of activity on the platform. The next step is to link the two solutions. For example, with Power BI tenant monitoring, it will be possible to view the traffic to individual reports directly in the report dashboard. This means that the most popular reports can be automatically sorted to the top of the report, simplifying navigation and ensuring that users always have access to the most important and most used reports.
Benefits
The report dashboard brings greater clarity and makes it easier to navigate through reports, simplifying the platform for users and administrators alike. The client now has better control over who has access to which reports, increasing security and efficiency. Power BI tenant monitoring provides key information for optimizing Power BI management and contributes to better resource allocation. Tracking user activity and regular report usage ensures efficient platform management and quick identification of issues.
Technologies used
Both solutions were developed in Microsoft Power BI environment using Fabric platform components and Power BI API.
